Orlando Planners — Common Questions

Most of our guests are making a holiday of it. How does that change the plan?

It makes the weekend the unit rather than the day. Arrivals spread across two days, families have park tickets and small children on a schedule, and a mid-afternoon ceremony competes with all of it. Say clearly what is included and what is not, pick one hotel as the base, and put transport where guests actually are rather than where you are.

The afternoon storms are daily in summer. What do we do?

Plan the outdoor part outside the usual storm window and have a covered space guests can reach without walking through it. Storms here are brief and heavy, so the plan is timing plus shelter rather than cancellation. Agree the decision hour with the venue in advance, and check what happens to your photographs if the light goes early.

Our venue is a resort. What is actually included?

Usually the room, the kitchen, the staff and a coordinator for the building — and a contract with a minimum, a service charge and a hard end time. What is not included is your suppliers, your family and your schedule. Read what counts towards the minimum and what does not before you sign; that is the clause that surprises couples most.

Can we hold events on park property?

Some properties host weddings under their own programs with their own rules, pricing and staff, and those are a different kind of booking from an independent venue. If that is what you want, ask early what is fixed and what is negotiable. If it is not, be careful not to design a day that depends on other people''s ticketed schedules.

How early do we need transport arranged?

Before the invitations, because what you tell guests is hard to change later. The shuttle plan depends on the venue''s end time and the distance between hotel and venue, and coaches for a Saturday in season get booked well ahead. Fix the end time first, then work the transport backwards from it.
