Most of our guests are coming from out of state. What changes?

They do, and mostly through hotel rates and room blocks rather than venues. A large event in the city can move what your guests pay and how many rooms you can hold. It is worth checking the calendar for your date before you sign the venue contract, because a block is much harder to fix afterwards.
Our venue has an event manager. Do we still need a planner?
The venue manager works for the building and is responsible for the space, the staff and the food. They are not responsible for your florist running late, your uncle''s toast or the hour your shuttle leaves. If the building supplies most of the day, hire coordination rather than full planning — but hire someone whose loyalty is to your schedule.
When does the transport plan have to be settled?
Before the invitations, because what you tell guests about getting there is hard to change later. The shuttle schedule depends on the venue''s end time, the distance and how many hotels are in play, and coaches for a Saturday in spring get booked well ahead. Settle the end time first; everything about transport falls out of that number.
